Guidelines for SSCS Chapters Seeking an Extra Chapter Subsidy

SSCS chapters are eligible for extra subsidies to support one-time special events such as workshops, short courses, and mini-conferences that are not covered by the annual chapter maintenace subsidy.

In order to partipate in the SSCS Extra Chapter Subsidy program, the Chapter Chair must submit the following documentation before and after each event:

    APPLICATION
    (1-page proposal to be submitted 2 months before funding is needed)

    FOLLOW-UP
    (1-page evaluation to be submitted no later than 2 months after the event)

    1. Describe the anticipated event. 1. Describe the success of the actual event.
    2. Itemize the anticipated expenses. 2. Itemize the actual expenses.
    3. Itemize other sources of revenue. 3. Provide photographs for SSCS newsletter.
    4. Prepare press release for the SSCS newsletter. 4. Email a press release to k.olstein@ieee.org for the SSCS newsletter.

Limitation: The maximum award for any given event is $5,000; the maximum that each chapter may receive in a given year is $5,000.

Biannual Application Timeframes:
To improve processing efficiency, the Society has established two application “windows” per year for submitting extra chapter subsidy applications:

    · April 1– May 1
    · October 1 – November 1

Requests will be reviewed by the SSCS Subsidy Committee twice a year, in conformance with this biannual schedule.

Since Extra Chapter subsidies are intended for one-of-a-kind special events, they must be requested in stand-alone applications -- not within your annual chapter maintenance annual subsidy request. For guidelines describing the SSCS annual Chapter Subsidy see sscs.org/Chapters/subsidy.htm.

If you have a chapter banking account, the following information about it is required for IEEE Accounts Payable to prepare and send a wire transfer or check for deposit:

If you do not [yet] have a Chapter banking account, you may want to request that a wire transfer be addressed to the Treasurer of your IEEE Section for deposit in the Section’s concentration or custody bank account. In this case, the Chapter Chair customarily notifies the Section Treasurer that chapter-related funds are being wired to the Section account, and the Section Treasurer, or other Section officer, customarily notifies the Chapter to claim them when they have arrived.
